Position: IT Specialist/Office Manager


Legal Aid Service of Northeastern Minnesota (LASNEM) seeks to fill the position of IT Specialist/Office Manager


Organization:

Legal Aid Service of Northeastern Minnesota (LASNEM) provides legal representation to low-income and senior citizens in 11 counties with offices in Duluth, Grand Rapids, Virginia, Brainerd, and Pine City. LASNEM was founded in 1952 and has become an integral part of the justice system and a cornerstone of Northeastern Minnesota’s commitment to the proposition that equal access to justice is a basic human right. In addition to a full range of general poverty law services, LASNEM operates special projects to focus on the unique needs of the clients we serve, such as the Eviction Court in Crow Wing County, the Senior Law Project, the Native American Outreach Project in Itasca County, Domestic Violence Courts in both Crow Wing and Itasca Counties, and integral work for partnerships to prevent homelessness. LASNEM is also one of the seven legal services programs that form the Minnesota Legal Services Coalition.


In every case that we handle, our goal is always to help our clients reach sustainable, holistic resolutions to the problems they face. Legal problems do not arise in a vacuum, nor does resolving a legal matter always achieve the client’s goals of safety, stability, and opportunity. To that end, we work closely with community partners across our service area. Working in tandem with our community partners can often spark a virtuous cycle of success for our mutual clients.


Position Overview:

As a critical member of our team at LASNEM, the IT Specialist/Office Manager will serve an important role in ensuring the critical infrastructure of the organization is functioning smoothly. The IT Specialist/Office Manager is responsible for partnering with the organization’s Managed Services Provider to ensure that the IT policies, processes, hardware, and software are current, secure, and meet the needs of staff and clients. In addition, the IT Specialist/Office Manager will be responsible for ensuring that all LASNEM’s offices are well managed and have the supplies and support they need to function well. The ideal candidate for this important role possesses technical aptitude and training, superior organizational and project management skills, strong communication skills, and a commitment to using their skills, talents, and experience to support the important work LASNEM does to provide access to justice to eligible people in our service area. This position reports to LASNEM’s Executive Director.


Primary Responsibilities:

Office Management (25%)

  • Manage the office supply budget and place orders as necessary for all LASNEM office locations.
  • Manage all office equipment, including postage, copiers, and printers.
  • Serve as the point of contact for all office property owners, leasing agents, landlords, custodial, maintenance, mailing, shipping, supplies, and equipment.
  • Partner with the HR contractor to set up training calendars for onboarding of new staff as appropriate to role and location.
  • Train staff on office procedures and general IT policies and procedures
  • Travel to all offices at least once per quarter and regularly attend virtual office meetings.
  • Other duties as assigned.

IT Specialist (75%)

General IT Management:


  • Server as the firm liaison with the Managed Services Provider (MSP), providing guidance and instruction, as well as oversight.
  • In partnership with the MSP, manage firm IT projects, such as office moves, hardware upgrades, new systems, etc.
  • In partnership with the organization’s leadership team and MSP, ensure policies and firm cybersecurity plans are up to date.
  • Partner with the organization's data manager on data collection and reporting needs.
  • Ensure security, integrity, and confidentiality of data.
  • Stay abreast of technologies and best practices for technology in the legal services sector and make recommendations to the leadership team.
  • Other duties as assigned.

LASNEM IT Asset Management:

  • Create and maintain an accurate inventory of IT equipment and hardware.
  • Manage inventory, assignment, termination, and renewal of software licenses.
  • Be responsible for IT equipment procurement, distribution, collection, recycling, and disposal.
  • Receive and evaluate IT procurement requests, partner with finance for purchases.
  • Serve as the point person for distribution and collection of IT hardware and equipment.

IT Systems Management:

  • Manage access to systems, software, and hardware for new and departing staff.
  • Manage the firm learning management system.
  • Develop LegalServer expertise, including creating needed reports and attending LS Admin meetings.
  • Develop Sharepoint expertise and serve as the point person for the LASNEM Sharepoint site.
  • Serve as the point person for telephony and internet services.

Staff IT Support

  • Set up and oversee the IT ticketing system for support requests.
  • Procure and distribute technology equipment and access for new staff members.
  • Provide general IT onboarding training for new staff.
  • Understand staff training needs and create and deliver appropriate training, as appropriate.
  • Serve as a resource for staff regarding relevant technology tools.

Position Qualifications:

  • Formal education or training in a technology related field OR work experience in a relevant technology support position.
  • A minimum of 3 years’ experience providing IT support, oversight, and project management.
  • Experience providing support services for offices and staff remotely.
  • Experience working with external partners and vendors.
  • Familiarity with systems, processes, and budgets inherent to non-profit organizations.
  • Strong organizational and time management skills, ability to multitask and prioritize.
  • Strong technical aptitude and experience with a range of tools, including O365 suite, Slack, Sharepoint, project management tools, etc.
  • Exceptional organizational skills and attention to detail.
  • Self-starter with the ability to manage their own projects with a strong ability to also work as a member of a team.
  • Excellent communication skills, both written and oral.
  • Superior troubleshooting and problem-solving skills.
  • Approachable and collaborative work style, with the ability to hold people and teams accountable for deliverables.
  • Commitment and dedication to LASNEM’s mission and culture of professionalism, compassion, and teamwork.

Physical Requirements: Must be able to travel for 3–4-hour periods and lift up to 10 pounds.

Compensation: Compensation for this position starts at $60,000-$65,000, depending on the candidate’s qualifications and experience. LASNEM offers excellent health, retirement plans, and leave benefits. More information is available upon request.
