JOB SUMMARY:

This individual will be responsible for coordinating and maintaining schedules for FirstLight Home Care clients and staff.

RESPONSIBILITIES:

Essential job duties for this position include the following items. Other duties must be performed as assigned or required.

  • Schedule client appointments/visits according to Service Plan/Care Plans and staff availability
  • Enter scheduling data, create, and release weekly schedule for all assigned caregivers
  • Professionally field client phone calls and manage positive client relations
  • Maintain call-in, retention and staff and client statistic reports
  • Contact care providers and clients regarding day-to-day changes
  • Enter staff and client information into a scheduling database
  • Assist team with On-Call needs during weekdays and some weekends as needed
  • Maintain staff and client database (i.e., employee assessments, dates and reminders of TB, client admission, client hospital admission and discharge)
  • Perform general office duties including but not limited to word processing, photocopies, files, shreds, sort/distribute mail, provide reception coverage, telephone services, etc.
  • Collaborates with the Office Team to prioritize hiring needs and ensure the successful, timely, and seamless onboarding of employees prior to their needed start date.
  • Proficiently utilize multiple software programs including G Suite, Microsoft Office,
  • Efficiently track and manage office inventory, office collateral supplies, and resources.
  • Periodically be able to step into other roles and cross-functionally perform job duties necessary to accomplish daily business objectives.

QUALIFICATIONS AND EXPERIENCE:

  • 3+ years of Scheduling or Administrative Experience in a complex, fast paced environment.
  • 3+ years of Customer Service or Customer related Management experience
  • 3+ Years of Home Care Operations/Scheduling Experience preferred
  • Strong oral and written communication and presentation skills; comfortable with high degree of interaction with employees and clients.
  • Solid decision making and critical thinking skills
  • Proven track record as an independent leader
  • Exceptional interpersonal and communication skills to create and nurture long-lasting relationships with both caregivers and clients
  • Self-motivated with an extremely strong sense of urgency.
  • Flexibility to adapt and change as priorities evolve in a rapidly growing environment.
  • Ability to manage multiple priorities at the same time.
  • A proven ability to influence teams and internal resources.
  • Strong desire to be an influential part of a team and to grow with a company committed to making a real difference in people’s lives every day

Job Type: Full-time

Pay: $20.00 - $26.00 per hour

Education:

  • High school or equivalent (Preferred)

  • Schedule management: 2 years (Preferred)
