Master Center for Addiction Medicine is a private, outpatient addiction medicine treatment center based in Richmond, Virginia. We are seeking a Front Desk Patient Services Representative Team Lead to work reception duties at our Glen Allen and Chesterfield offices. Note: The expectation for this position is that the applicant will flex between our Chesterfield location at 2505 Pocoshock Place, Suite 101, Richmond, VA, 23235 and our Glen Allen location at 4212 Park Place Court, Glen Allen, VA, 23060. Mileage to the two home offices for this position is not reimbursable.
The Front Desk Patient Services Representative Team Lead is responsible for monitoring and assisting the front desk team with the following job responsibilities.
Responds to inbound calls and voicemails in a timely manner.
Identifies potential new patients and appropriately transfers to the Intake department.
Performs appointment scheduling, Check-in, and Check-out procedures.
Appropriately schedules patient encounters based on provider schedules, insurance participation, and appointment availability for each appointment type.
Completes follow-up appointments based on provider instructions, in the designated timeframe.
Reviews, verifies, and interprets Insurance eligibility for each patient encounter and documents the findings in eCW.
Verifies patient’s name, date of birth, and demographic information with each encounter.
Ensures that the correct patient demographic and insurance data is registered correctly and accurately in the patient account.
Obtains ViT forms for traditional Medicare B patients.
Completes the MSPQ (Medicare Secondary Payor Questionnaire) every 90 days for traditional Medicare B patients.
Ensures that all appropriate applicable patient forms are reviewed and signed.
Notifies the appropriate departments when insurance changes and/or updates are identified.
Notifies the appropriate departments and providers of patient specific information as warranted.
Obtains and scans all Patient Insurance Cards, Identification, and required patient notifications and documents to the patient account.
Appropriately reviews and monitors Global Alerts and documents attempts to obtain required information such as ROI forms, Insurance cards, and Patient identification.
Reviews patient liability amounts and collects patient payments, for same day and existing patient balances.
Completes appointment confirmation activities in a timely manner for all service schedules assigned.
Scans documents to the patient account as necessary.
Maintains HIPAA Compliance by protecting Patient Health Information according to established policies and procedures.
Follows and enforces Master Center policies and procedures.
Interacts in a professional manner and works collaboratively with Master Center staff and patients, and ensures that all team members provide excellent customer service.
Represents Master Center in a positive and professional manner at all times.
Assists the Front Desk Office Manager with implementing new processes to improve efficiency.
Assists the Front Desk Office Manager with conducting Quality Assurance audits to promote the Quality Assurance Program.
Assists the Front Desk Office Manager with completion of performance management activities for direct reports by deadlines.
Proactively communicates with Front Desk Office Manager as well as the Leadership team as needed.
Additional responsibilities may include providing support for some of the Medical Assistant duties
May perform other duties and projects as assigned.
