Distinguishing Characteristics
Employees in this class typically report to the Facilities and Records Supervisor.
A Facilities and Records Clerk is differentiated from a Senior Facilities and Records Clerk in that an incumbent in the latter class provides lead-level training and work direction.
Typical duties of the Facilities and Records Clerk may include, but are not limited to:
Responds to automated requests from court staff, attorneys and the public regarding stored case files by researching and retrieving files or microfilm, preparing correspondence, and preparing and certifying copies; pulls case files for districts and prepares for courier delivery.- Researches court case file numbers using the court's case management systems, case inventory and index system, and microfiche reader equipment.
- Files and retrieves case files, legal documents and related case materials; maintains the order of files in file folders and in filing systems; assembles documents, identifies and organizes documents for transfer to the archives; retrieves records from archives, if necessary.
- Prepares Destruction Orders and Notices for judge's signature in accordance with pre-determined criteria; prepares and distributes legal and internal notifications; reviews files for destruction and validates government codes and court guidelines are properly adhered to.
- Coordinates with third-party vendors for microfilm; prepares document conversion and enters into tracking system pallets of files for microfilming and sends to vendor; checks and verifies invoices against packing slips; ships backup rolls to other facility.
- Carries and moves file storage boxes using battery operated forklift, ladders and hand trucks to perform file warehousing activities.
- Packs and loads files for transport from court locations to the records center using trucks, flatbeds, pallet jacks, dollies and forklifts.
- Acts as the court's daily courier transporting files, mail and furniture among all court locations or throughout departments in a facility.
- Receives, scans through machine for safety, sorts and delivers mail, inter-departmental correspondence, office supplies and equipment, or other materials and delivers to designated locations.
- Receives deliveries and performs visual and physical inspections of supplies and equipment for quality, quantity and correctness; may assist in unloading delivery trucks; checks and verifies delivery items received against packing slips and purchase orders; returns defective materials and equipment; refuses receipt of incorrect items.
- Places supplies on shelves; replenishes warehouse stock and maintains inventory in accordance with established policy and procedures; forecasts future needs for critical stock inventory items to ensure uninterrupted supply; ensures proper maintenance of the inventory system.
- Assists with semi-skilled maintenance and repair projects including moving and loading furniture using trucks, forklifts, hand trucks and flatbeds; installs ergonomic equipment and reconfigures workstations; performs painting and other building trades.
- Prepares and coordinates a variety of work reports and records; attends meetings; represents the section/department with other divisions, departments and vendors.
- May provide onsite oversight and access to contractors engaged in the maintenance and repair of court facilities.
- Coordinate with court vendors for warranty repair on various court purchased equipment and materials.
- Performs other duties as assigned.
Graduation from high school or GED equivalent, and one (1) year of experience in warehousing that included clerical recordkeeping, or an equivalent combination of education, training and experience. Experience in a public court is preferred.
Licenses; Certificates; Special Requirements:
A valid California Class C driver's license and the ability to maintain insurability under the court's vehicle insurance program.
Knowledge of:
- Standard office practices and procedures, including recordkeeping and filing;
- Customer service practices and telephone etiquette;
- Court ordinances, codes, procedures and practices regarding records management, computer hardware, software and data security;
- Court and/or departmental business processes common for multiple case types;
- Safe and proper methods of handling, loading, securing and unloading of case files, mail, supplies and equipment;
- Modern inventory control practices and generally accepted warehousing procedures and recordkeeping methods;
- Proper operation of warehousing equipment such as dollies, hand trucks and pallet jacks;
- Operation of hand and power tools and equipment common to maintenance and repair trades;
- Uses and operations of computers and standard business software;
- Correct English usage, including spelling, grammar and punctuation.

Health and Welfare Benefits
DENTAL: The dental subsidy is equivalent to 100% of the employee only DPPO coverage plan (but not less than twenty dollars {$20.00} per pay period.)
VISION: Court-paid plan for employees. No co-pay/deductible for eye exams; frames and standard lenses or contact lenses (in lieu of standard lenses) every twelve (12) months.
SHORT-TERM DISABILITY: Court-paid benefit that provides partial income replacement in the event that an employee is unable to work due to a non-work related disability.
LIFE INSURANCE: Court-paid basic life insurance benefit of $35,000. Additional supplemental life and AD&D insurance benefits may be purchased voluntarily.
MEDICAL REIMBURSEMENT ACCOUNT: Flexible Spending Account (FSA) that helps participating employees lower their taxable income. Under this plan, employees elect to set aside pre-tax money each pay period to pay for eligible out-of-pocket medical expenses for themselves and their eligible dependents that are not paid by insurance or reimbursed by any other benefit plan.
DEPENDENT CARE ASSISTANCE PLAN: This is a type of Flexible Spending Account (FSA) that helps participating eligible employees lower their taxable income. Under this plan, employees may set aside pre-tax dollars to pay for qualified childcare or dependent care expenses that are necessary for the employee and/or spouse to continue working.
Leave Allowances
HOLIDAY: Thirteen (13) paid recognized holidays and the accrual of two (2) floating holidays annually.
SICK LEAVE: Employees in regular positions accrue approximately 3.39 hours of sick leave per pay period to use during instances of authorized absence due to illness, injury, or medically related appointments.
BEREAVEMENT LEAVE: ALL employees are eligible to receive a maximum of thirty- two (32) hours of paid leave per occurrence for bereavement leave due to the death of a person in the immediate family.
