This position will serve as a key member of a thriving Finance team providing executive level administrative support, coordination, project management and analysis for the Vice President and Chief Financial Officer. The role will fully understand the business and priorities of the team and act proactively to address needs. This position also will supervise the activities of another finance executive administrative professional and collaborate to meet the administrative needs of their finance leadership team.
What Will You Do?
In order to grow and build a successful career with The Toro Company, you will be responsible for:
- Provide daily support for the Chief Financial Officer including but not limited to managing calendars, scheduling meetings and conference rooms, booking travel arrangement and creating travel itineraries, handling mail and email correspondence of a confidential and timely nature
- Manage projects and/or events as assigned including conducting research, supporting projects and initiatives across the Finance suite, organizing details and following through with execution
- Prepare and proofread information including correspondence, PowerPoint slides, handouts, and spreadsheets, ensuring a professional and consistent appearance.
- Independently compile data from a variety of resources, analyze and prepare appropriate monthly, annual and ad hoc reports and dashboards
- Develop and implement efficient and effective systems for managing information, projects, and communications to ensure accurate and timely responses. Recommend process improvements and develop procedures to problem solve on a daily basis
- Schedule and coordinate preparation activities for the Board of Directors Finance and Audit Committee meetings throughout the year
- Manage workload and coordinate with the finance administrative professional to ensure leaders are getting the support they need and admins are being fully utilized, aligning tasks with skill sets in order to drive efficiency, and providing backup support when needed.
- Professionally interact with others including all levels of employees, board members and internal and external stakeholders
- Manage and submit expense reports and budget tracking for the CFO and other finance cost centers, which includes completing an annual plan and periodic projections
- Collaborate with other Executive Assistants including identifying and establishing best practices
- Provide training to others when appropriate
- Perform other duties and projects as requested
What Do You Need?
To be considered for this role, an individual should meet the following minimal requirements:
- Bachelor’s degree in accounting, finance, business administration, or communications preferred. Associate's degree required.
- A minimum of 8 years leading administrative support for executive/finance/legal professionals in a corporate setting or a combination of education and progressively responsible experience.
- Experience leading processes and/or people preferred
- Must be able to work independently, often utilizing considerable judgment in decision making on behalf of, or in collaboration with, the CFO, when matters don’t require the direct attention of the CFO.
- Must be proficient in all Microsoft Office Suite software (Outlook, Word, Excel, PowerPoint and Teams), internet knowledge and ability to learn internal system applications.
- Exceptional verbal and written communication skills including the ability to speak and write in a succinct manner; write routine reports and correspondence; speak effectively before groups or employees
- Demonstrated ability to speak and act with confidence and presence in interactions with executive leadership and board members
- Must be able to maintain strict confidentiality and be able to respond to work requirements with a highly developed sense of urgency
- Flexibility, along with ability to prioritize and coordinate a diverse workload under pressure of frequent deadlines and changing priorities
- Position requires the ability to come onsite at Bloomington M-F #LI-Onsite. Typical office hours, with flexibility required to come in early or stay late for specific events or meetings.
