Required Qualifications (as evidenced by an attached resume):
Bachelor's degree (foreign equivalent or higher). Three (3) years of progressively responsible full-time administrative experience. Experience coordinating meetings, schedules, itineraries. Experience with financial planning and/or budget management.
Preferred Qualifications:
Master's degree (foreign equivalent or higher). Experience working in higher education. Experience creating, editing and submitting reports. Experience with procurement of services/goods. Experience reconciling accounts. Experience using financial databases and/or talent management systems. Experience with hiring and training staff. Experience working with a diverse college population.
Brief Description of Duties:
Responsible for the business activities of units reporting to the Associate Vice President for Career Readiness & Experiential Education. Assist in the development of budgets and capital projects, and coordinate all details for budget reconciliations, procurement, personnel, and financial reporting. Provide administrative support to the AVP and Senior Director. You will apply excellent communication skills, be extremely organized, have good analytical skills, be able to work independently, and exemplify a high level of professionalism, integrity, and work ethic.
- Budget & Office Management
- Assist with fiscal projections and analysis, budget planning, and management, record keeping, and policy compliance. Work with the Leadership Team to create reports on budget use and spending patterns for all accounts. Ensure fiscal compliance. Prepare requisitions, purchase orders, journal transfers. Work with vendors and University Procurement. Must be able to work, and manage priorities and deadlines independently.
- Planning and Administrative
- Serve as a point of contact for students, faculty, staff to meet with the Associate Vice President and Senior Director. Interface with high level campus administrators, University donors, employers, community members, faculty, staff, and students. Maintain confidentiality and discretion with sensitive information. Coordinate calendars, receive visitors, and compose correspondence on behalf of leadership. Identify and respond to any perceived challenges with client services. Oversee departmental facilities and supplies; handle maintenance issues, etc.
- Recruiting, Training and Development
- Recruit, train, and supervise, a team of hourly student employees to maintain central operations and other administrative responsibilities. Coordinate onboarding experience for them and new pro staff. Support CC intern teams as needed.
- Divisional Events, Programs and Services
- Represent the Career Center during major programs and events from the Center, Division of Student Affairs, or University (i.e., Career Fairs, Welcome Week, Commencement, Convocation, etc.).
- Other duties or projects as assigned as appropriate to rank and departmental mission.
- Evening and weekend work may be required at times.
Special Notes:
This is a full-time appointment. FLSA Non Exempt position, eligible for the overtime provisions of the FLSA.
Essential Position: This has been designated as an essential position based on the duties of the job and the functions performed. Positions that are designated as such may be required to report to work/remain at work even if classes are canceled, and the campus is working on limited operations in an emergency.
In addition to the employee's base salary, this position is eligible for $3,026 UUP annual location pay, paid biweekly.
