Adika Counseling, LLC provides mental health services to promote individual empowerment, increase access to treatment and promote the wellness of individuals, families and communities through culturally sensitive clinical mental health assessment, prevention, psychoeducation, diagnosis and intervention.

As an Administrative Assistant, you will provide daily operational support at a growing outpatient mental health practice. You'll be a critical member of our professional staff. Thisis an in-person role.

Essential Duties and Responsibilities

Office Support

  • Assist with reaching out to stakeholders to gain clients.
  • Responsible for responding to all incoming calls and return missed calls.
  • Handling all incoming and outgoing mail.
  • Assist in the facilitation of team outtings and other events
  • Other duties as assigned.

Client Suport

  • Responsible for responding to all incoming calls and return missed calls. Provide information to current, prospective clients and referral sources.
  • Learn EHR and develop the ability to schedule/cancel appointments; add telephone notes to document patient encounters; task MAs and others as needed.
  • Facilitate client intake processes by sending intake packets electronically, checking insurance benefits etc.
  • Schedule appointments for new and existing patients.
  • Scans and uploads medical records as they come into clinic.
  • Other duties as assigned.

Billing

  • Collect co-pays and deductibles for both in-network and out-of-network patients via Theranest (electronically)
  • Create invoices and submit billing to insurance companies.
  • Reconcile client accounts with correct insurance payments and process clients payments.
  • Ability to run reports necessary for client acccount reconciliation
  • Other duties as assigned.

Qualifications:

Required Knowledge, Skills, and Abilities:

  • Well organized and detail oriented
  • Previous experience in an Administrative roles
  • Bachelor's degree preferred (not required)
  • Committed to accurate and timely completion of work
  • Skill with Microsoft Office products.
  • Ability to quickly learn new computer programs and internet applications.
  • Ability to develop efficient processes.
  • Ability to prioritize work and follow tasks through to completion.
