JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Coordinator position is to coordinate activities within the College of Graduate Health Sciences to provide administrative and operating functions to the Post-Doc office, to assist in the day-to- day operations and provide administrative support to the Dean, Associate Deans, and the Assistant Deans.


DUTIES AND RESPONSIBILITIES:

  • Advise the Dean, Postdoc Office Associate Dean, Postdoc Advisory Committee, and Postdoc Association on matters of Postdoc Office planning, oversight, and design and implementation of postdoc educational activities.
  • Post vacant positions to NatureJobs.com.
  • Coordinate and participate in new postdoc orientation for the postdoc office.
  • Maintain and analyze confidential documents tracking postdoc training, e.g. Individual Development Plans and Annual Progress Reports.
  • Provide Certificate of Completion to postdocs.
  • Complete annual NIH-NSF surveys.
  • Manages the Postdoc Listserv and tracks active/inactive postdocs.
  • Perform standard administrative duties such as answer phones; filing of records/documents; maintain records accordingly to record keeping regulations; order office supplies; collect, distribute, and monitor office mail; process vendor payments, invoices, create billing for services and PO/requisitions for purchasing requests; process department time sheets and payroll.
  • Provides administrative support to the Dean of the College of Graduate Health Sciences to include calendar management, arranging meetings, and providing telephone and email support to the dean.
  • Manages subrecipient grant documentation and contracts.
  • Directs all departmental pre-award activities, including budget development, proposal preparation and submission.
  • Prepares and submits travel request and reimbursement for entry into CONCUR and assist faculty in making travel arrangements.
  • Performs other duties as assigned.


MINIMUM REQUIREMENTS:

EDUCATION: Bachelor’s Degree in Business, Finance, Accounting or related area.

EXPERIENCE: One (1) year of related administrative support experience in a university setting) OR High School Diploma or GED five years (5) related related administrative support experience in a university setting). (TRANSCRIPT REQUIRED)


WORK LOCATION: ON-SITE

WORK SCHEDULE: This position may occasionally work evenings and weekends, with occasional travel.


Knowledge, Skills, and Abilities

  • Ability to manage time and work on multiple tasks simultaneously.
  • Proficient knowledge of Microsoft Office (Word, Excel, PowerPoint and FileMaker Pro).
  • Knowledge of general academic recruitment, academic counseling procedures, college recruitment policies and procedures, and basic knowledge of distance learning concepts and technologies.
  • Knowledge of general policies and procedures in an academic setting.
  • Excellent organizational skills.
  • Excellent written and oral communication skills enabling interactions with diverse groups of faculty, staff and students.
