We are looking for a candidate to join our dynamic office staff – working in a rapidly changing environment to deliver the highest customer satisfaction possible to a wide variety of clients.
Your duties include but are not limited to:
· Manage account balances to discover outstanding debts or other inconsistencies
· Collect all information needed to calculate bills receivable (order amounts, discount rates etc.)
· Check the data input in the accounting system to ensure accuracy of final bill
· Issue invoices and bills and sent them to customers through various channels (mail, e-mail etc.)
· Issue customer account statements periodically or whenever necessary
· Receive payments through various methods (cash, credit card, etc.) and check for credibility
· Send reminders for payments and contact customers when assigned
· Update accounting records with new payments, balances, customer information etc.
· Answer questions and handle complaints from customers regarding bills
· Responsible for answering the phone, screening, and assisting callers, and obtaining initial information for other work groups before forwarding calls.
· Building rapport and trust with customers through open and interactive communication
· Providing accurate, valid, and complete information
· Keeping records of customer interactions, processing customer accounts and filing documents
· Going the extra mile to engage customers and drive the customer experience
· Organizing/scheduling meetings and appointments
· Performing administrative duties such as filing, data entry, database queries, etc.
· Writing letters and emails on behalf of other office staff
· Handling sensitive information in a confidential manner
Requirements
· Adherence to laws and confidentiality guidelines
· Proficient in MS Office (especially Excel); Working knowledge of relevant software (e.g. Quickbooks) will be appreciated
· Excellent math ability
· Good organizational skills
· Excellent communication skills
· High school diploma; further education will be a plus
· Strong phone contact handling skills and active listening
· Displays empathy
· Excellent communication and presentation skills
· Ability to multi-task, prioritize, and manage time effectively
· Attention to detail and problem-solving skills
