We are the largest pool building/service company in New England, and we have an exciting position open for a Sales Administrative Assistant. Our office is located in North Billerica, MA. We provide construction services to residential/commercial markets in the New England area.
We are seeking an organized, reliable, detail and service-oriented individual to join our growing team. In this position, you will assistant the residential sales team in an accurate, efficient manner. Previous administrative experience is
preferred.

Daily Job Functions:
Sales Contract Process
- Create job folder
- Save contract
- Update sales status sheet
- Sent to Accounting
- Update contract as deposits & job numbers are received
- Enter in ProEdge as a new job once deposit is received
- Assign supervisor in the appropriate territory
Sales Addendum Process
- Review for issues
- Update the draws & adds in ProEdge
- Upload addendum to ProEdge
- Distribute document to appropriate parties
When Sales Manager is out
- Send & receive pool plans for customer approval
- Send approved plans to CAD to complete plan process
- Update sales status sheet per document
New pool inquiries
- Receive inquiries from website submissions & reception
- Enter submissions into proedge or send to appropriate party
- Send welcome email or delayed email to customer
- Notify the appropriate salesman
- Update Benoit opportunity status sheet
Misc.
- Answer questions regarding contracts, sales breaks etc.
- Clarify information, what is included/not included in a project
- Supply proper documents when needed
Requirements and skills:
- Proficiency in Microsoft Office Suite.
- Hands-on experience with office equipment (e.g. fax machines and printers).
- Solid written and verbal communication skills.
- Ability to be resourceful and proactive when issues arise.
- Excellent organizational skills.
- Multitasking and time-management skills, with the ability to prioritize tasks.
- Customer service attitude.
- High school diploma; additional education is a plus.
